How can I archive an event?

Events can be archived when they are inactive or no longer relevant to your organization. Archiving removes an event from your main event list without deleting it, so your workspace stays focused on the events that need your attention now.

Why archive events?

  • A cleaner, more focused event list. As your organization runs more events, past and inactive ones can quickly crowd your dashboard. Archiving keeps your list centred on active and upcoming events, so admins can find what they need faster.
  • Less risk of working in the wrong event. Similar names and recurring annual events make it easy to click into the wrong one. Moving old events out of view reduces the chance of editing, emailing, or reporting from an outdated event by mistake.
  • Better organization over time. Archiving gives your team a consistent way to close out an event once it's wrapped, making it part of a clean post-event process.
  • Your data stays intact. Archiving is not deleting. Your event's content and data are kept, so you can still refer back to past events when planning future ones.

How can I archive an event?

To archive an event:

  1. Navigate to General > Details > Archive Event

  1. Click the green Archive Event button and click Confirm


What happens when I archive an event?

When an event is archived, it is hidden from being visible on the "Your Events" page and instead is accessible via the "Archived" filter.

Archiving an event also prompts all attendee-facing areas to be offline and inaccessible. This includes the Event Website, Event Portal, Event App, Call for Proposals, Sponsor/Exhibitor Application, and the public API. Any public URLs will show "Page Not Found" if they are accessed.

Archived events will use any User Credits associated with their Attendee count. As such, archiving events will not return associated User Credits to your account.

Note: Archived events cannot be copied from. We recommend creating a template event to copy from instead. This template event can remain active (not archived) so that past events can be archived.

What if I want to un-archive an event?

Event admins can un-archive an event:

  1. Navigate to the Your Events page and filter to your Archived events
  2. Click on the desired event
  3. Navigate to General > Details > Archive Event
  4. Click Un-archive event

Once an event is un-archived, it returns to the "Your Events" list and all front-facing areas become accessible again.
